How to read tree service call quality.

A long call is not automatically a good job. Record whether the request fits your crew, area and services, then follow it through the estimate.

Start with the work requested

Separate removal, pruning, stump grinding, tree care and storm requests. Record uncertain scope without diagnosing remotely. The estimator can update the category after assessment.

Check whether you could serve the request

Mark service area, relevant equipment and known scheduling constraints. A profitable small stump job near other scheduled jobs may fit better than a large removal far outside it. Do not rank every inquiry by apparent job size.

Track the response as an event

Record whether the call was answered, returned and connected with the customer. A callback attempt is not a conversation. Note the next agreed action and the person responsible.

Follow the estimate through to work

Count appointments arranged, estimates completed, quotes accepted and completed jobs separately. A customer who has not decided remains open. Keep repeat calls under the original inquiry reference.

Turn reasons into decisions

Many out-of-area calls suggest checking targeting. Planned removals lost before an estimate may need clearer scheduling. Missed calls require an operational response owner. Increasing ad spend is only one possible action.

Use costs and outcomes from the same group of inquiries. Include related management and page costs. Wait for an appropriate decision window; open estimates are not completed jobs.
